1. Your Data
1.1 We collect data on our clients so that we can then undertake the contracted services for our clients (e.g. background information which is used as a basis for a Tax Report we produce or information regarding a client's income to use for production of their personal Tax Return).
1.2 We may retain the information on our clients for at least six years after the contracted service was undertaken.
1.3 We may retain the information on our clients for much longer than six years if we continue to act for that client and we think that this information could be relevant for future services (such as family history relevant to a client's domicile status)

1.5 Our IT service providers have access to our computer systems (and therefore access to data held on our computer systems) so that we can continue to provide our services. Apart from this exception, we will not normally share your data with any third party unless this is:
(a) required by law or considered advisable by us to protect our position (including that of our officers & staff and of our subcontractors) in the event of a future official enquiry, legal dispute, etc.
(b) required by our insurers
(c) required by our anti-money laundering regulators
(d) necessary to seek advice on your affairs or on our relationship with you, or
(e) requested by you in advance.
1.6 If you enquire with us about possible services but you do not become a client of ours then we can confidentially dispose of any data after our last contact with you at such time as we no longer consider it necessary in the light of factors such as those above.
1.7 We will not use your data for any marketing (but we might post you an annual diary or a budget summary booklet occasionally explaining some relevant changes in tax laws unless you let us know you do not want these by e-mailing sarah.oldershaw@vicena.co.uk).
